Most businesses do not have an information shortage. They have information scattered across Outlook, Teams, SharePoint, OneDrive, meeting transcripts and business applications. Microsoft Work IQ is designed to address that problem. At a high level, it gives Microsoft 365 Copilot and other AI agents a continuously updated understanding of your workplace, while respecting the access permissions and governance controls already applied to your data.

What is Microsoft Work IQ?

Work IQ is not another chatbot, AI model or application that employees need to learn. It is an intelligence layer operating behind Microsoft 365 Copilot and capable AI agents.

Its role is to turn workplace information into useful business context. Instead of an AI system seeing a collection of unrelated emails, documents and meetings, Work IQ helps it understand which information is relevant, how people and projects are connected, and what the user is permitted to access.

For example, imagine asking an AI assistant:

โ€œPrepare me for tomorrowโ€™s customer renewal meeting. Summarise the outstanding issues, recent commitments and decisions I need to make.โ€

A basic AI tool may require you to find and upload every relevant document. An agent using Work IQ can potentially draw context from authorised emails, Teams discussions, calendar entries, meeting notes and SharePoint files before producing a more complete briefing.

That difference is important. The value does not come from generating more polished text. It comes from reducing the time people spend finding, checking and assembling information.

How the technology works in plain English

Work IQ builds what Microsoft calls a semantic understanding of work. In plain English, this means it considers the meaning and relationships behind information, rather than relying only on matching keywords.

The technology can be understood in three practical stages.

1. It connects workplace signals

Work IQ can work with Microsoft 365 information such as Outlook email and calendars, Teams messages and meetings, SharePoint sites, OneDrive files, people and organisational relationships. Approved connectors can also bring relevant information from other business systems into the Microsoft environment.

This does not mean every employee can suddenly see everything. Results are intended to be permission-aware, meaning the AI should only use information the person or authorised agent is allowed to access.

2. It assembles the right context

Traditional integrations often return large amounts of raw information and leave the AI application to sort through it. Work IQ performs more of that retrieval and context assembly within Microsoftโ€™s environment.

It can consider signals such as who works on a project, which document is current, what was discussed recently and how information relates to the request. This helps an agent provide an answer based on the userโ€™s actual work rather than a generic internet-style response.

3. It lets agents reason and act

Work IQ provides application programming interfaces, or APIs, which are controlled ways for software to communicate. These interfaces allow approved AI agents to ask questions, retrieve context and, where permitted, take actions across Microsoft 365.

Microsoft supports several interaction methods, including REST for applications, Model Context Protocol for connecting AI assistants to tools, and agent-to-agent communication. Leaders do not need to understand these protocols in detail. The business point is that Work IQ gives developers a standard, governed path instead of requiring a separate custom connection for every Microsoft 365 function.

The Work IQ APIs became generally available on 16 June 2026. Usage can be billed separately from Microsoft 365 Copilot licences, while some Work IQ features within Copilot Studio remained in preview as of August 2026. Organisations should therefore confirm the production status, licensing and support conditions of their specific use case.

Why should businesses care?

Better answers can produce better decisions

AI often disappoints because it lacks business context. It may write a convincing response without knowing that a project changed direction yesterday or that the relevant policy was replaced six months ago.

Work IQ can help ground responses in current, authorised workplace information. That can improve management briefings, project updates, customer preparation, internal research and operational reporting.

Employees spend less time searching

Small time savings become meaningful at scale. If 100 employees each save only ten minutes per working day, the business recovers roughly 3,800 hours over a year.

Not every recovered hour becomes a direct cash saving. However, it can mean faster customer responses, fewer duplicated tasks, shorter meetings and more time for work that requires human judgement.

AI agents become more useful

A generic assistant can draft an email. A properly designed workplace agent can investigate an issue, collect authorised information, prepare an action list and create a usable output.

For example, an operations agent could review recent incident discussions, identify recurring problems and prepare a weekly summary for management. A sales agent could gather account history before a meeting. A policy agent could compare a proposed document with approved internal standards.

Work IQ can provide the internal context, while Web IQ gives business AI agents access to current web information. Used together with appropriate controls, these capabilities can help agents consider both internal knowledge and external developments.

Development may become simpler and less expensive

Without a service such as Work IQ, businesses may need to build data indexes, synchronisation processes, custom search systems and separate security controls. These components cost money to create, monitor and maintain.

Work IQ handles more of this context assembly within the Microsoft ecosystem. That can reduce development effort, but it does not make every AI project automatically worthwhile. Businesses still need a defined process, measurable outcome, responsible owner and realistic usage budget.

A practical mid-market scenario

Consider a 200-person professional services company. Its project information is spread across Teams channels, email threads, SharePoint libraries and meeting notes. Senior managers regularly spend several hours preparing customer reviews because nobody is certain which document contains the latest decision.

An AI agent grounded with Work IQ could assemble an initial briefing from information each manager is already authorised to see. It could summarise recent discussions, locate current project documents, list unresolved actions and identify upcoming milestones.

The business outcome is not simply โ€œusing AI.โ€ It is reducing preparation time, improving consistency and lowering the risk of managers making decisions from incomplete information.

Work IQ will not fix poor information governance

Permission-aware AI is only as good as the underlying permissions. If confidential SharePoint folders are open to too many people, Work IQ may make that already-accessible information easier to find.

This is why organisations should review Microsoft 365 permissions, external sharing, sensitivity labels, retention settings and administrator access before connecting powerful agents. Microsoft Intune, which manages and secures company devices, and Microsoft Defender, which detects and responds to threats, should also form part of the wider control environment.

Work IQ does not make a business compliant with the Essential 8, the Australian Governmentโ€™s cybersecurity framework that many organisations use as a security baseline. It should be introduced alongside strong identity controls, multi-factor authentication, patching, application management and regular access reviews.

What leaders should do before investing

  1. Choose one costly process. Start with a task involving repeated searching, summarising or preparation.
  2. Measure the current effort. Record the time, delays, errors and people involved before introducing AI.
  3. Review data access. Confirm that SharePoint, Teams, OneDrive and connected systems have appropriate permissions.
  4. Define what the agent can do. Reading information presents a different risk from sending messages, updating records or creating files.
  5. Set a usage budget. Work IQ APIs can use consumption-based billing, so costs should be monitored through Microsoftโ€™s administration tools.
  6. Run a controlled pilot. Test accuracy, security and measurable business value with a limited user group before expanding.

The real opportunity is context, not another chatbot

Work IQ matters because it helps close the gap between powerful AI models and the reality of how your business operates. It gives approved agents a better understanding of your people, information, conversations and work patterns.

That can lead to faster decisions, less time spent searching and more useful automation. It also raises important questions about permissions, privacy, cost control and governance that should be addressed before deployment.
