It is that many business systems were never designed to work together.

Browser automation agents offer a practical way to close some of these gaps. Instead of relying on a person to open a website, find a record, enter data and submit a form, an AI agent can complete the same browser-based steps under defined controls.

What is a browser automation agent?

A browser automation agent is an AI assistant that can use a web browser rather than simply answering questions. It can navigate pages, read information, select options, enter data and complete a sequence of tasks.

Microsoft Foundry is Microsoft’s managed platform for building and operating these AI agents. Its Browser Automation Tool is now generally available, commonly shortened to GA, which means it has moved beyond the early preview stage into Microsoft’s production release path.

This matters because mid-market organisations can now assess browser agents as an operational capability rather than another interesting demonstration. GA does not mean the technology is risk-free, but it gives technology leaders a firmer foundation for support, governance and production planning.

For a broader strategic view, our earlier article explains why Microsoft Foundry browser automation GA matters to Australian CIOs. Here, we are focusing on the operational decisions that come next.

How the technology works in plain English

The technology combines an AI model, which interprets the task and decides what to do, with Microsoft Playwright Workspaces, which provide managed browser sessions in Azure.

A task is provided. For example, “Check these 20 supplier orders and record their latest delivery dates.”

The agent plans the steps. It works out which website to open, what information to find and which actions are permitted.

An isolated browser session starts. This keeps the automated activity separate from an employee’s everyday computer.

The agent interacts with the website. It can read page elements, click buttons, enter information and move through multiple screens.

The activity is recorded. Operations teams can use monitoring information to understand what the agent did, where it failed and how long it took.

Microsoft also supports Live View and human takeover. In practical terms, an authorised person can observe a session and step in when the agent reaches an exception or needs a decision.

The Browser Automation Tool can be made available through an MCP connection. MCP, or Model Context Protocol, is a standard way of connecting AI agents to approved tools without creating a completely different integration for every agent.

Private website browsing is still listed separately as a preview capability. Organisations should therefore confirm regional availability, support status and network requirements before designing workflows around internal websites that are not accessible from the public internet.

Where browser agents can reduce operating costs

1. Finance and accounts administration

Accounts teams often log into vendor portals to download invoices, confirm account balances or check payment status. An agent can collect this information and prepare it for review, reducing repetitive work at the end of each month.

The safest starting point is usually a read-only process. Let the agent gather and validate information before considering actions such as submitting invoices or changing payment details.

2. Purchasing and supplier management

A purchasing team may need to compare stock, delivery dates and order status across several suppliers. When those suppliers do not offer a reliable system connection, a browser agent can perform the checks and produce an exception list.

Employees can then focus on delayed, expensive or unusual orders instead of manually reviewing every transaction.

3. Logistics and customer service

Customer service teams regularly switch between courier websites, order portals and internal systems. Browser agents can retrieve tracking information and prepare a response while the employee deals with the customer.

This can shorten response times without giving an unsupervised agent permission to change an order, issue a refund or make a customer commitment.

4. Compliance evidence collection

Many Australian organisations still collect audit evidence through screenshots, portal exports and manual checklists. Agents can assist by gathering approved evidence on a schedule and flagging missing records.

This does not automatically achieve compliance with Essential 8, the Australian government’s cybersecurity framework that many organisations use to improve their security maturity. It can, however, reduce the manual effort involved in proving that agreed controls are operating.

A realistic mid-market example

Consider a 180-person wholesale business where three operations employees each spend 90 minutes a day checking supplier portals and updating delivery records. Across 22 working days, that is approximately 99 hours of administrative work each month.

At an estimated employment cost of A$55 per hour, the process costs around A$5,445 monthly. If browser automation safely removes 70 per cent of that work, the potential capacity returned to the business is about 69 hours, worth roughly A$3,800 per month.

The business does not need to remove positions to realise the benefit. Those hours can instead be redirected toward resolving delayed orders, negotiating with suppliers and helping customers.

The important word is safely. If the agent requires constant supervision or regularly enters incorrect information, the expected saving disappears.

Browser automation should not replace a good system connection

Browser automation is particularly useful when a website has no API, which is a structured and generally more reliable way for systems to exchange information. It can also help when a workflow crosses several older portals that cannot easily be changed.

Where a supported API is available, it will often be more stable than automating buttons and web pages. Websites change, buttons move and unexpected messages appear, so browser workflows require ongoing testing.

The right architecture may combine both approaches. Our guide to connecting Microsoft Foundry agents to business systems explains how to assess direct system connections alongside agent tools.

The controls to put in place before production

Use dedicated accounts with minimal access. An invoice-checking agent should not have permission to change bank details or approve payments.

Restrict websites and actions. Define where the agent can browse and what it must never submit, delete or purchase.

Require human approval for high-impact steps. Payments, refunds, contract acceptance and record deletion should not happen silently.

Protect passwords and access tokens. Credentials should be centrally secured, not included in prompts, spreadsheets or workflow instructions.

Record and review activity. Logging should show which agent acted, which account it used, what happened and whether the task succeeded.

Plan for website changes. The workflow should stop safely and notify a person when a page behaves differently than expected.

Minimise personal information. Only give the agent the customer or employee data required for the task, in line with Australian privacy obligations.

These controls should be tested rather than assumed. Our practical framework for monitoring and evaluating Microsoft Foundry agents safely covers accuracy, security, cost and production readiness in more detail.

How to choose the first workflow

A good pilot is repetitive, measurable and easy to reverse. It should also cause limited damage if the agent stops or makes a mistake.

Start with a four-to-six-week pilot and measure the current process before automating it. Record the time spent, transaction volume, error rate, exception rate and cost per completed task.

Include the full operating cost in the business case. That means the AI model, browser session usage, implementation, monitoring, testing and employee time needed to handle exceptions.

Avoid starting with payroll changes, financial approvals, employee termination processes or unrestricted access to customer records. These processes may eventually benefit from agent assistance, but they are poor places to learn.

GA is the start of the operational decision

General availability makes Microsoft Foundry browser automation more credible for production planning. It does not remove the need for security design, human oversight or a measurable business case.

For Australian mid-market organisations, the strongest opportunities are often hiding in ordinary administrative work: supplier checks, order updates, portal searches and evidence gathering. Automating even part of that workload can return meaningful time to teams without replacing core systems.

CloudProInc brings more than 20 years of enterprise IT experience to this type of planning. As a Melbourne-based Microsoft Partner and Wiz Security Integrator, we help organisations assess Foundry agents alongside Azure, Microsoft 365, Defender and broader cloud security controls.

If you are unsure whether browser automation could reduce operating costs without creating another security problem, we are happy to review one workflow with you and give you a practical view of what is worth automating — no strings attached.

Browser automation in Microsoft Foundry is now generally available.
