It brings selected Microsoft 365 files, emails, meeting information, notes and pages into one place, allowing an account team to ask questions and create drafts using that agreed body of information.

The opportunity is not simply faster document creation. Used properly, Copilot Notebooks can reduce meeting preparation, improve handovers, surface forgotten commitments and help an account team give customers more consistent answers.

Why account teams lose time and context

Most account teams do not have an information shortage. They have an information organisation problem.

The latest proposal may be in SharePoint. Pricing assumptions are buried in an email thread. Meeting actions sit in OneNote, while the service team has important customer history in a separate document.

Before a customer meeting, someone must search through all of this and work out what is still relevant. Senior account managers often become the unofficial source of truth, creating risk when they are unavailable or leave the business.

This is why we recommend that organisations start with the work rather than the AI tool. For account teams, the work usually includes meeting preparation, opportunity reviews, renewals, quarterly business reviews and internal handovers.

The technology behind Copilot Notebooks

Copilot Notebooks uses a process commonly called grounding. In plain English, this means the AI is instructed to base its answer on the information placed in the notebook rather than offering a broad, generic response.

The notebook does not need to contain copies of every document. Team members add references to supported Microsoft 365 content, and those references can remain current as the original information changes. Copilot can then summarise the material, identify themes, answer questions and create first drafts based on that selected context.

This is different from treating Copilot as an all-knowing search box. The account team deliberately defines the information that matters, which usually produces more focused and explainable results.

Microsoft states that prompts, responses and business data accessed through Microsoft 365 Copilot are not used to train its underlying foundation models. However, your existing permissions, information management and privacy obligations still matter. AI does not repair poorly governed data.

A practical rollout pattern for account teams

1. Begin with three to five active accounts

Do not create a notebook for every customer on day one. Choose a small number of accounts where information is complex, several employees are involved and there is a clear business event ahead, such as a renewal or quarterly review.

This gives you a manageable pilot with visible outcomes. It also prevents the rollout becoming another broad AI program with unclear ownership.

2. Assign one accountable notebook owner

Each notebook should have a named business owner, usually the account manager or customer success lead. That person is responsible for keeping references relevant, reviewing access and removing outdated material.

Without an owner, notebooks can quickly become digital storage cupboards. More content does not automatically produce better answers.

3. Use a standard account structure

Every pilot notebook should begin with the same core set of references:

A current account summary and stakeholder list

The active proposal, agreement or statement of work

Recent meeting notes and agreed actions

The latest service, delivery or project status report

Relevant product, pricing and renewal information

Previous quarterly or executive review material

Avoid adding every historical document simply because it exists. Old proposals, duplicate files and superseded pricing can create confusion for employees as well as AI.

4. Add shared instructions and prompt patterns

Copilot Notebooks supports custom instructions that guide the style and focus of its responses. For example, you can tell it to separate confirmed facts from assumptions, highlight conflicting information and never invent missing dates or commercial figures.

Give pilot users a short prompt pack based on real account activities:

Prepare a one-page briefing for tomorrow’s customer meeting.
Include recent decisions, open actions, delivery risks and upcoming dates.
Separate confirmed facts from assumptions.
Identify any information that should be checked before the meeting.

Draft a quarterly account review using the notebook references.
Summarise outcomes delivered, unresolved issues and next-quarter priorities.
Do not create financial figures or customer commitments that are not documented.

The objective is not to make everyone a prompt-writing expert. It is to create repeatable working habits that produce useful business outputs.

5. Build the notebook into the account rhythm

A notebook delivers value when it becomes part of the team’s routine. Use it before meetings for briefings, after meetings to compare new actions with previous commitments, and during handovers to bring a new team member up to speed.

It should complement the process for turning Copilot meeting recaps into accountable action. A summary is useful, but someone must still own each decision, deadline and follow-up.

Put access control ahead of convenience

Copilot Notebooks content is stored using Microsoft’s SharePoint-based infrastructure. Sharing must be planned carefully because people given access to a notebook may also gain access to the files referenced within it.

Before the pilot, decide who can create notebooks, which customer information can be included and whether commercial, legal or personal information requires additional restrictions. Australian organisations should consider customer confidentiality, the Privacy Act and any industry-specific obligations.

This also supports the intent of the Essential Eight, the Australian Government’s cybersecurity framework that many organisations use to reduce common security risks. A notebook does not make a business Essential Eight compliant, but strong identity controls, secure devices and limited access reduce the chance of sensitive customer information being exposed.

Licensing should also be checked before scaling. Copilot Chat and full Microsoft Copilot users can have different reference limits and available content types, so model the required user group and cost rather than assigning licences to everyone. Our guide to managing the changing Copilot licensing budget covers the wider cost controls worth considering.

An illustrative account team scenario

Consider a 120-person professional services company with six people supporting a major customer. Before each monthly review, the account director spends around 40 minutes collecting updates from email, meeting notes and delivery reports.

The company creates one controlled notebook containing the current agreement, recent meeting information, project reports and action register. After four weeks, meeting preparation falls to approximately 15 minutes, while the team uses the saved time to validate risks and contact action owners.

The value is not the 25 minutes alone. The customer receives more consistent updates, fewer commitments are missed and the account is less dependent on one employee’s memory. This is an illustrative scenario, but it shows the type of measurable outcome a pilot should target.

Measure business value before expanding

Review the pilot after six to eight weeks using a small scorecard:

Average time spent preparing for account meetings

Time required to produce quarterly review material

Number of overdue or missed customer actions

Time needed to complete an account handover

Percentage of AI outputs requiring major correction

Active weekly use by the pilot team

If the results are positive, expand account by account. If they are not, investigate the workflow, source information and training before purchasing more licences.

Start small and make the pattern repeatable

Copilot Notebooks can give account teams a clearer, shared view of each customer, but the notebook itself is not the strategy. Success depends on selecting the right accounts, controlling access, curating reliable information and measuring whether customer work actually improves.

CloudProInc is a Melbourne-based Microsoft Partner with more than 20 years of enterprise IT experience.
