Many organisations are introducing agents that can read emails, retrieve documents, update systems and contact customers, yet they cannot clearly answer a basic question: exactly which agent performed each action?

At a high level, Microsoft Entra Agent ID gives each AI agent a recognisable business identity. Instead of allowing several agents to share an employee account or a generic application login, each agent can be identified, given limited access, monitored and disabled when it is no longer needed.

What is Microsoft Entra Agent ID?

Microsoft Entra is the identity platform behind Microsoft 365 and Azure. It determines who or what is requesting access, what they are allowed to use and whether that access should be approved.

Entra Agent ID extends this approach to AI agents. An AI agent is software that can make decisions and complete tasks, rather than simply producing a written answer. For example, an agent might check incoming support requests, find the relevant customer record and create a service ticket.

Entra Agent ID provides a purpose-built identity and security framework for these agents. It can support agents created with Microsoft tools as well as agents running on selected non-Microsoft platforms.

The important business point is that the agent no longer operates as an unidentified piece of software. It becomes a managed identity with a defined purpose, an accountable owner and a record of its activity.

Why a shared account is not good enough

Early AI trials are often built quickly. A developer connects an agent to Microsoft 365, a customer database or an internal application using an existing account because it is the easiest way to get the demonstration working.

The demonstration succeeds, so the same arrangement quietly moves into daily operations. Months later, nobody remembers which systems the agent can access, who approved it or what will stop working if the shared account is disabled.

This creates three immediate risks:

No reliable accountability. Activity logs may show the shared account, but not which agent took the action.

Excessive access. The agent may inherit every permission held by the employee or application account.

No clean exit process. The business may not know when the agent should be reviewed, restricted or removed.

These risks are explored further in our guide to separate AI identities, permissions and audit logs. Entra Agent ID provides the technical foundation needed to put those principles into practice.

How the technology works in plain English

Entra Agent ID uses several connected components. The terminology can sound complicated, but the underlying model is straightforward.

1. A blueprint defines the type of agent

An agent identity blueprint is a reusable template. It records what a particular type of agent is, how it proves its identity and which common security settings should apply.

Imagine that your business wants to deploy customer service agents for several departments. The blueprint might define the standard security requirements for that type of agent, while each department receives a separate agent identity.

This avoids rebuilding security settings every time another agent is introduced. It also reduces configuration mistakes and gives IT teams a repeatable way to approve new deployments.

2. Each agent receives an individual identity

The blueprint can create individual identities for each agent. Every identity has its own unique identifier, name, permissions and activity records.

This separation matters. If the finance agent accesses a document at 2:15 pm, the record should identify the finance agent, not simply show a generic automation account used by ten other systems.

Separate identities also allow one agent to be disabled without interrupting every other AI workflow. That reduces disruption during an incident or when an agent fails a security review.

3. Tokens provide temporary proof of identity

An agent does not need to send a reusable password every time it accesses a system. Entra can issue a token, which is a temporary digital pass confirming the agent’s identity and permitted access.

The receiving system checks that pass before providing information or accepting an action. Tokens expire, reducing the risk created by permanent passwords stored inside scripts, configuration files or developer tools.

4. Permissions control what the agent can do

Identifying an agent is only the first step. The agent must also receive the minimum permissions required for its job, often called least-privilege access.

A support agent may need to read customer contact details and create tickets. It probably does not need to export the complete customer database, delete records or change billing information.

Permission limits reduce the damage caused by a mistake, compromised agent or misleading instruction. They create a controlled working area rather than giving the agent unrestricted access to the business.

5. A human sponsor remains accountable

An agent identity can have a sponsor: the person or team responsible for its purpose, access and continued operation. This prevents abandoned agents from remaining active simply because nobody owns the decision to remove them.

The sponsor does not need to monitor every task. They do need to confirm that the agent is still useful, its access remains appropriate and someone will respond if suspicious activity is detected.

Autonomous agents and agents acting for employees

Not every agent works in the same way. An autonomous agent operates under its own identity, such as an agent that monitors a service queue and classifies new requests.

Other agents act for an employee. For example, a sales assistant might prepare a proposal using information that the signed-in salesperson is permitted to access. The system needs to understand both who the employee is and which agent is acting for them.

Keeping both identities visible makes investigations and compliance reviews far easier. It can show that an employee initiated a task while a specific agent performed the resulting actions.

As agents increasingly communicate with other agents, this becomes even more important. Our article on securing agent-to-agent communication with Entra ID explains how identity supports trust between automated systems.

A practical business scenario

Consider a 200-person professional services company introducing an accounts agent. The agent monitors a shared mailbox, extracts invoice details and enters them into the finance system for approval.

If it uses the finance manager’s account, it may gain access to payroll records, banking information and confidential reports. Its activity may also look as though the finance manager personally completed every action.

With its own identity, the agent can be limited to the invoice mailbox and the specific finance functions required for invoice processing. Its actions can be logged separately, and the finance manager can remain the accountable sponsor without sharing their account.

The business outcome is not merely better technical security. The company can automate invoice handling while reducing manual work, limiting financial exposure and preserving a clear audit trail.

What Entra Agent ID means for compliance

Australian organisations are under growing pressure to demonstrate who can access sensitive information and how that access is controlled. The Essential Eight, the Australian Government’s cybersecurity framework, also encourages disciplined access management, system protection and monitoring.

Agent identities do not make a business compliant by themselves. They do, however, make it easier to demonstrate individual accountability, restricted access, lifecycle management and traceable activity.

This is particularly useful when responding to customer security questionnaires, cyber insurance reviews or privacy investigations. Instead of saying that “the AI system” accessed a record, the business can identify the agent, its owner, its approved permissions and its recorded actions.

What should technology leaders do now?

Create an agent inventory. Record every agent in use, including small trials created by individual departments.

Identify shared accounts. Find agents using employee credentials, generic logins or long-lived passwords.

Assign an owner. Every agent should have a business sponsor and a technical owner.

Review permissions. Remove access that is convenient but unnecessary for the agent’s job.

Plan the full lifecycle. Decide how agents will be approved, monitored, reviewed and retired.

Check licensing and platform support. Some advanced protection and governance controls may require additional Microsoft licensing.

Identity controls should also sit inside a broader security model. Our guide to protecting AI agents across identity, data and threats explains why login controls alone are not enough.

Give AI agents responsibility without giving them free rein

AI agents can save significant time, but they can also reach business systems and act at machine speed. Treating them like anonymous software makes it difficult to control access, investigate mistakes or prove compliance.

Entra Agent ID gives each agent a defined place within the organisation. Combined with limited permissions, human sponsorship and reliable monitoring, it helps businesses use AI productively without losing accountability.

CloudProInc brings more than 20 years of enterprise IT experience across Microsoft Entra, Azure, Microsoft 365, OpenAI, Claude and cybersecurity.
