The productivity gains can be significant, but leaders often cannot answer three basic questions: what data can the agent use, what is it prevented from sharing, and can we prove what it did?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Purview, Microsoft&#8217;s platform for protecting and governing business information, helps answer those questions. It can extend existing sensitivity labels, data loss prevention rules and audit records into supported AI interactions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why normal access permissions are not enough<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">An AI agent is software that can find information, prepare answers and sometimes complete tasks for a user. It may search hundreds of documents in seconds, making existing information-access problems much easier to expose.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If an employee can technically open an old salary spreadsheet, an AI agent working on their behalf may also be able to find it. The problem is not necessarily that the AI has bypassed security. The problem may be that the original permissions were too broad.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Identity controls remain the first line of defence. As we covered in securing AI agent identities with Microsoft Entra ID, every agent needs a defined identity, owner and level of access.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Purview adds another layer. Identity controls determine who the agent is and where it can go. Purview helps control the information it encounters and records how that information was used.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How the technology works at a high level<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Purview uses three connected controls to protect supported AI activity.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Sensitivity labels<\/strong> classify information as Public, Internal, Confidential or another category your business defines.<\/li>\n<li><strong>Data Loss Prevention<\/strong>, usually called DLP, checks content against business rules and warns, restricts or blocks unsafe actions.<\/li>\n<li><strong>Audit<\/strong> creates searchable records showing who used an AI service, when they used it and what business resources were involved.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Think of labels as the signs on the doors, DLP as the security guard and audit as the camera recording what happened. Each control is useful alone, but the strongest protection comes from using all three together.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Labels tell AI which information needs special handling<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A sensitivity label is a persistent digital classification attached to a file, email or supported data source. It can identify information such as payroll records, legal advice, board papers or customer data.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The label can remain with the content when it is moved or copied. Depending on its configuration, it can also apply encryption, restrict access or prevent certain actions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For AI, this classification provides context that ordinary file permissions do not. A person might have permission to open a confidential acquisition document, but that does not automatically mean an AI assistant should use it when answering general questions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The quality of this protection depends on the quality of the labelling program. If sensitive documents are unlabelled, incorrectly labelled or stored in uncontrolled locations, the AI cannot reliably apply rules based on those labels.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Our guide to Microsoft Purview sensitivity labels explains how to build a practical classification model without forcing employees to make complicated security decisions every time they save a document.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">DLP controls what the agent can process or disclose<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Labels identify risk. DLP turns that information into an action.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For supported Microsoft AI services, DLP policies can restrict the processing of highly sensitive labelled files and emails. Policies can also detect sensitive information within prompts, such as credit card details, passport numbers, health information or organisation-specific identifiers.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, a user might paste a customer record into an AI prompt and ask for a summary. A DLP rule could display a warning, prevent the prompt from being processed or stop sensitive information from being included in an external web search.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is not about blocking every AI interaction. Overly broad policies frustrate employees and encourage them to look for unapproved alternatives. A better approach is to block a small number of clearly unacceptable actions while using warnings and business justification for lower-risk situations.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The same principle applies to email and everyday collaboration. AI policies should build on those controls rather than becoming a separate and inconsistent rulebook.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Audit gives leaders evidence rather than assumptions<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Without audit records, an AI incident can turn into days of guesswork. IT may know that an agent produced an inappropriate response but not who asked the question, which information source was accessed or whether the problem affected other users.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Purview Audit can record supported user interactions and administrative changes across Microsoft Copilot and AI applications. Depending on the product and configuration, records may include the user, time, agent, action, referenced resources and conversation information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These records support security investigations, internal reviews, legal discovery and compliance reporting. They also help businesses separate an AI failure from an underlying permission problem.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Audit data should still be handled carefully. Prompts and responses may contain commercially sensitive or personal information, so access to transcripts should be restricted and retention periods should match genuine business and legal needs.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Purview and Sentinel solve different parts of the problem<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Purview primarily looks at information risk and compliance. Microsoft Sentinel, Microsoft&#8217;s security monitoring platform, is better suited to combining signals across identities, cloud systems, endpoints and security products.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A mature approach uses both. Purview can show that sensitive information was involved in an AI interaction, while Sentinel can connect that event with unusual sign-ins, large downloads or other suspicious behaviour.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a deeper look at operational monitoring, see our guide to monitoring AI agent activity with Sentinel and OpenTelemetry. OpenTelemetry is a common method for collecting performance and activity data from applications.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">A practical example for a 200-person business<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Consider a 200-person professional services company introducing an AI agent to help employees find project information. Its SharePoint environment contains approved templates, customer contracts, employee records and several years of poorly organised documents.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Giving the agent access immediately would make the existing mess faster. It would not make it safer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A sensible rollout would first label employment and legal records as highly confidential. DLP would prevent the agent from processing that content in general employee interactions, while audit records would capture usage for investigation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The company could then launch the agent to a small group, review blocked interactions and adjust false positives before expanding access. The business outcome is useful AI with a smaller chance of exposing customer, legal or employee information.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Five steps to extend Purview to AI agents<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>List your agents and knowledge sources.<\/strong> Include Microsoft 365 Copilot, Copilot Studio, Azure-based agents and approved third-party AI services.<\/li>\n<li><strong>Check existing permissions.<\/strong> Fix broadly shared SharePoint sites and data stores before allowing an agent to search them.<\/li>\n<li><strong>Apply a small, clear label set.<\/strong> Start with information that would create serious financial, legal or reputational harm if exposed.<\/li>\n<li><strong>Test DLP in monitoring mode.<\/strong> Observe what would be blocked before enforcing rules across the business.<\/li>\n<li><strong>Define audit ownership.<\/strong> Decide who reviews alerts, who may access transcripts and how quickly suspected incidents must be investigated.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Coverage is not identical across every Microsoft or third-party AI agent. Licensing, data sources, connectors and preview features can affect which controls are available, so confirm the support model before describing an agent as compliant.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What this means for Australian organisations<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Purview does not automatically make a business compliant with the Essential Eight, the Australian government&#8217;s recommended cybersecurity framework. However, it can provide valuable supporting controls around information protection, monitoring, access governance and incident investigation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It can also help demonstrate that reasonable steps were taken to protect personal and commercially sensitive information.
