They find the right policy but the wrong customer record, return outdated information or produce a confident answer without enough evidence.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At a high level, relational databases are designed to find exact facts and manage structured records. Vector databases are designed to find information with a similar meaning, even when the words are different. Most useful business AI solutions need both capabilities rather than an either-or choice.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What is a relational database?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A relational database organises information into connected tables. One table might contain customers, another invoices and another service requests, with defined relationships connecting those records.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Platforms such as Azure SQL Database and PostgreSQL are commonly used for this purpose. They are strong when the business needs an exact, dependable answer to questions such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What is the outstanding balance for customer 1048?<\/li>\n<li>Which employees have not completed mandatory training?<\/li>\n<li>How many units of a product are currently available?<\/li>\n<li>Who approved a transaction and when?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Relational databases use SQL, a language for requesting specific information from structured records. They also support transactions, which help ensure that important changes either complete correctly or do not happen at all.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This makes them a strong system of record for customer, finance, inventory and operational data. When accuracy, auditability and consistency matter, a relational database usually remains essential.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What is a vector database?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A vector database helps an AI application search by meaning rather than relying only on exact keywords. This is useful when employees search policies, contracts, support notes, manuals, emails or other unstructured content.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The technology starts with an embedding model, such as one available through Azure OpenAI. The model converts a piece of content into an embedding, which is a long list of numbers representing the content&#8217;s meaning.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When someone asks a question, the same process converts that question into numbers. The system then compares the question with stored content and finds the closest matches.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, an employee might search for \u201cworking from another country\u201d. A normal keyword search could miss a policy titled \u201cInternational Remote Work Requirements\u201d, while vector search can recognise that the two phrases are conceptually related.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Despite the name, a vector database does not need to be a completely separate product. Dedicated vector platforms exist, but modern relational services can also store and search embeddings. Azure SQL has vector capabilities, while PostgreSQL can add them through extensions such as pgvector.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The choice is really about the type of answer<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The biggest mistake is choosing a database because vector technology sounds more modern. The right choice depends on whether the AI needs to find a likely meaning, an exact fact or both.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Use relational queries for exact business facts<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">If an AI assistant needs the current price, account status or stock quantity, it should normally retrieve that value from the relevant structured system. Asking a vector search engine to find an approximate match introduces unnecessary risk.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A finance assistant, for example, should not select an invoice because it looks similar to the question. It should use the customer number, invoice number and access permissions to retrieve the correct record.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Use vector search for documents and natural language<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Vector search is useful when users do not know the exact title, wording or location of the information they need. It can locate relevant paragraphs across thousands of documents and supply those passages to an AI model before it writes an answer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This process is often called retrieval-augmented generation, or RAG. In plain English, the AI searches approved business information first and then uses the retrieved material to produce a more relevant response.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Combine both when the question crosses systems<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Consider the question, \u201cCan this customer receive a refund, and what have we already charged them?\u201d The refund policy may sit in a document, while the customer&#8217;s payments sit in a relational database.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A well-designed assistant can use vector search to find the relevant policy and an exact database query to retrieve the customer&#8217;s transactions. It can then explain the situation without treating an approximate search result as a financial fact.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This combined model is one reason we recommend starting with the business question before selecting products. Traditional keyword search is better at exact words but may miss relevant content expressed differently.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Hybrid search runs keyword and vector searches together and combines the results. For many business knowledge assistants, this produces more dependable answers than either method alone.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A user searching for \u201cPRO-482 warranty exclusions\u201d, for example, needs the exact product code and conceptually related warranty language. Hybrid search can account for both.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">A practical 200-person business scenario<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Consider a 200-person professional services firm where employees repeatedly search SharePoint, email and a document management system for procedures. Staff often find several versions of the same document and ask an experienced manager which one applies.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The firm&#8217;s customer and project records already sit in a relational database. Moving all of that information into a new vector database would duplicate data, add synchronisation work and create another system requiring security, backup and monitoring.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A more practical design keeps customer and project records in the relational database. Approved documents are indexed for vector and keyword search, with metadata identifying the owner, version, department and review date.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If 100 employees each avoid two six-minute searches per week, the business recovers about 20 working hours every week. More importantly, employees are less likely to act on an outdated procedure or provide inconsistent advice to a customer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is the difference between buying AI because it is fashionable and designing it around a measurable outcome. We explore that distinction further in the difference between AI hype and real business AI solutions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Do not overlook security and governance<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A fast answer is not a successful result if the AI reveals confidential information to the wrong person. Search results must respect the same identity, device and data permissions that apply to the source systems.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For Australian organisations, this should form part of broader controls supporting privacy obligations and Essential 8, the Australian Government&#8217;s cybersecurity framework for reducing common attacks. Essential 8 does not automatically make an AI system compliant, but controls such as access restrictions, patching and stronger administrator protection reduce the surrounding risk.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You should also decide how embeddings, search indexes, prompts and AI responses are logged and retained. An embedding is not readable like a normal document, but it still represents business information and must be protected accordingly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If the AI retains user preferences or previous interactions, database design becomes even more important. Our article on when a business AI agent needs long-term memory covers the cost, privacy and service considerations.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Five questions to ask before choosing<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>What information will the AI use?<\/strong> Separate exact operational records from documents and other natural-language content.<\/li>\n<li><strong>How current must the answer be?<\/strong> A live account balance has different requirements from a policy reviewed every six months.<\/li>\n<li><strong>What happens if the result is wrong?<\/strong> Higher-risk decisions need exact queries, source references, approval steps and clear audit records.<\/li>\n<li><strong>Can the existing database support vector search?<\/strong> Adding vector capability to an existing platform may reduce cost and complexity, but it should be tested against real data volumes and search needs.<\/li>\n<li><strong>How will access be controlled?<\/strong> The AI should only retrieve information the individual user is already authorised to see.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">The best answer is usually a controlled combination<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Relational databases are not being replaced by vector databases. Relational systems remain the dependable foundation for exact business records, while vector search gives AI a practical way to find meaning across documents and natural language.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The strongest architecture often keeps authoritative data where it already belongs and adds vector or hybrid search where it creates a clear benefit.
