Most data leaks do not begin with a sophisticated cyberattack. They begin when someone emails a confidential spreadsheet to the wrong person, downloads a sensitive document to an unmanaged laptop, or shares a link more widely than intended.<\/p>\n\n\n\n
Microsoft Purview sensitivity labels help by giving information a clear classification, such as Internal, Confidential or Highly Confidential. More importantly, a label can trigger practical controls that determine who can open the information, whether it can be forwarded and how it should be handled.<\/p>\n\n\n\n
A sensitivity label is a digital classification attached to a file, email or other supported Microsoft 365 content. Think of it as a secure handling instruction that systems can understand, rather than a sticker that employees may ignore.<\/p>\n\n\n\n
The label can remain connected to a document when it is renamed, downloaded or sent outside the organisation. Depending on how it is configured, it can add a header, footer or watermark, encrypt the content and restrict actions such as editing, copying, printing or forwarding.<\/p>\n\n\n\n
Microsoft Purview is the Microsoft 365 service used to create and manage these labels centrally. Administrators build the labels, define what each one does and publish them to the relevant employees through label policies.<\/p>\n\n\n\n
When someone applies a label in Word, Excel, PowerPoint or Outlook, classification information is written into the item as metadata. Metadata is simply information about the file, such as its owner, creation date and security classification.<\/p>\n\n\n\n
Microsoft 365 applications and services read that metadata and apply the organisation\u2019s rules. If a document is labelled Highly Confidential, for example, Microsoft Purview can use encryption to allow only authorised identities to open it.<\/p>\n\n\n\n
This is different from password-protecting a document. Passwords can be shared, reused or written down. Label-based protection checks the user\u2019s company identity and permissions, helping the protection remain effective even if the file leaves SharePoint or is forwarded by email.<\/p>\n\n\n\n
Labels can also be used with Microsoft Teams, Microsoft 365 Groups and SharePoint sites. However, labelling a Team or site does not automatically mean every file inside it receives the same file label. Site controls, document labels and sharing permissions need to be designed to work together.<\/p>\n\n\n\n
A finance employee may need to email a forecast to the executive team. If the file is labelled Highly Confidential, access can be limited to those executives rather than anyone who receives a forwarded copy.<\/p>\n\n\n\n
The business outcome is straightforward: fewer opportunities for commercially sensitive information to reach customers, competitors, former employees or unauthorised contractors.<\/p>\n\n\n\n

Without a simple classification system, employees must make difficult security decisions without enough guidance. Is a customer proposal confidential? Can a payroll report be shared through Teams? Should a board paper be downloaded?<\/p>\n\n\n\n
A short label structure gives people clear choices. For many organisations, a sensible starting point is:<\/p>\n\n\n\n
Avoid creating 12 labels with similar names. If employees cannot quickly understand the difference, they will guess, choose the lowest restriction or stop paying attention.<\/p>\n\n\n\n
Manual labelling is useful, but it depends on people remembering to do it. Microsoft Purview can recommend or automatically apply labels when it detects defined information, such as financial details, identification numbers or other sensitive data patterns.<\/p>\n\n\n\n
Labelling can occur while employees create documents and emails, or after content has been stored in SharePoint, OneDrive or processed through Exchange Online, which runs Microsoft 365 email. Microsoft provides a simulation mode for service-based automatic labelling so organisations can test results before controls are enforced broadly.<\/p>\n\n\n\n
Automation should be introduced carefully. A poorly tested rule can classify harmless documents as confidential, interrupt collaboration and create unnecessary support calls.<\/p>\n\n\n\n
Capabilities also vary between Microsoft 365 licensing plans. Advanced automatic labelling and some protection options may require additional licensing, so confirm what you already own before increasing subscription costs.<\/p>\n\n\n\n
Sensitivity labels can help demonstrate that the business has defined information categories and implemented controls around sensitive data. They can also support privacy obligations by reducing unnecessary access to personal information.<\/p>\n\n\n\n
They do not, by themselves, make an organisation compliant with Australian privacy requirements or the Essential Eight, the Australian government\u2019s baseline cybersecurity framework. The Essential Eight focuses on controls such as patching, multi-factor authentication, restricting administrator access and regular backups.<\/p>\n\n\n\n
Labels complement these measures by reducing the business impact when documents are copied, emailed or downloaded. They should form part of a broader security program that includes Microsoft Defender, which detects and responds to threats, and Microsoft Intune, which manages and secures company computers, phones and tablets.<\/p>\n\n\n\n

AI tools make data classification more important, not less. Employees can now locate, summarise and reuse large amounts of company information much faster than before.<\/p>\n\n\n\n
Sensitivity labels help Microsoft services recognise that a board paper should be handled differently from a public brochure. However, labels cannot repair excessive SharePoint permissions or prevent every unsafe use of third-party AI tools.<\/p>\n\n\n\n
Before expanding Microsoft Copilot, OpenAI or Anthropic Claude across the business, review who can access sensitive information, where that information is stored and whether the classification structure still reflects real business risk. Consider an anonymised scenario typical of a 150-person professional services company. Its Microsoft 365 environment contains contracts, employee records and client documents, but almost every file is treated the same way.<\/p>\n\n\n\n
Managers regularly email documents as attachments because they do not trust SharePoint permissions. Employees can also download sensitive files to personal devices, and nobody can confidently explain which information requires additional protection.<\/p>\n\n\n\n
The company starts with four labels and pilots them with finance, human resources and senior management. Confidential files receive a visible footer, while Highly Confidential files are encrypted and limited to approved groups.<\/p>\n\n\n\n
The immediate improvement is not another dashboard. It is clarity. Employees understand which information needs care, managers have consistent handling rules, and the IT team can concentrate monitoring on genuinely sensitive data rather than treating every document as equally risky.<\/p>\n\n\n\n
Sensitivity labels are most effective when they reflect how the organisation genuinely operates. Overly restrictive controls encourage workarounds, while weak controls create a false sense of security.<\/p>\n\n\n\n
