Microsoft made Copilot Cowork generally available worldwide on 16 June 2026. General availability, or GA, means it is ready for supported production use. It does not mean every organisation should immediately make it available to every employee.<\/p>\n\n\n\n
The reason for caution is simple. Microsoft 365 Copilot has mostly helped people research, summarise and draft. Copilot Cowork goes further because it can carry out multi-step work across email, calendars, Teams, Word, Excel, PowerPoint, OneDrive and SharePoint.<\/p>\n\n\n\n
That can save significant time. It also means your AI is moving from suggesting work to taking action, creating a new set of questions around authority, data access and cost.<\/p>\n\n\n\n
Copilot Cowork is an agentic AI system. In plain English, that means it can take a business outcome, work out the steps required and complete much of the task on a user’s behalf.<\/p>\n\n\n\n
For example, a manager could ask it to review project emails and meeting notes, prepare a status report, create a presentation, draft a client update and schedule a follow-up meeting. Cowork can continue working in Microsoft’s cloud environment even when the user’s laptop is closed.<\/p>\n\n\n\n
Behind the scenes, Cowork uses Work IQ, Microsoft’s system for understanding the work information a user can access. It brings together permitted context from emails, meetings, messages, files and connected business systems.<\/p>\n\n\n\n
Cowork can then select from different AI models, use Microsoft 365 tools and call approved plugins, which are controlled connections to other business applications. Sensitive steps such as sending an email or posting a Teams message normally require user approval, with higher-risk actions clearly identified.<\/p>\n\n\n\n
This combination makes Cowork more useful than a chatbot. It also makes the quality of your existing Microsoft 365 controls much more important.<\/p>\n\n\n\n
The first question is not whether Cowork can save time. It is which business processes are valuable, repeatable and safe enough to delegate.<\/p>\n\n\n\n
Turning it on without defined use cases can create plenty of activity without measurable value. Employees may use it for low-value experiments while important processes remain unchanged.<\/p>\n\n\n\n
Start with tasks that are time-consuming but still easy for a person to check. Good early examples may include:<\/p>\n\n\n\n
Avoid beginning with tasks where one wrong action could create legal, financial or reputational damage. Customer commitments, staff performance decisions, payment approvals and regulatory submissions should retain strong human review.<\/p>\n\n\n\n
For each use case, define who reviews the result, which actions require approval and who owns the outcome. An AI-generated email sent from an executive’s account is still an executive communication. Cowork does not remove accountability.<\/p>\n\n\n\n
Ask the process owner to describe the current task in five steps. Record how long it takes, how often it occurs and what mistakes normally happen.<\/p>\n\n\n\n
Run the same process through Cowork with a small pilot group. If it saves meaningful time without increasing corrections, complaints or review effort, you have a credible case for expansion.<\/p>\n\n\n\n
Cowork works within the user’s existing permissions. That sounds reassuring, but it can expose a problem many organisations already have: employees often have access to far more information than their job requires.<\/p>\n\n\n\n
A person may never search through an old SharePoint site containing salary information, contracts or acquisition documents. Cowork can find relevant information much faster, making forgotten access permissions immediately more important.<\/p>\n\n\n\n
Before rollout, review high-risk SharePoint sites, Teams workspaces, shared mailboxes and OneDrive folders. Confirm that former employees, broad security groups and company-wide sharing links do not provide unnecessary access.<\/p>\n\n\n\n

IT leaders should also decide which models, plugins and browser capabilities are permitted. Cowork can use different AI models, and some preview models may have different data-retention conditions. Plugins can extend Cowork into other systems, while browser use may allow it to work through sites where an employee is already signed in.<\/p>\n\n\n\n
Those capabilities should be approved individually rather than treated as one large switch.<\/p>\n\n\n\n
Your minimum control list should include:<\/p>\n\n\n\n
For Australian organisations, this should sit alongside privacy obligations and the Essential Eight, the Australian Government’s baseline cybersecurity framework. The Essential Eight is not an AI governance framework, but controls such as multi-factor authentication, restricted administrator access, application control and timely patching remain essential foundations.<\/p>\n\n\n\n

Copilot Cowork is not simply another feature included without limits in an existing Microsoft 365 subscription. It requires Microsoft 365 Copilot access and uses consumption-based billing through Copilot Credits.<\/p>\n\n\n\n
In practical terms, your cost depends on what Cowork does. Model responses, information retrieval, tool calls, image generation and browser tasks can all contribute to consumption. A short briefing will not cost the same as a long-running task that reviews thousands of files and creates several outputs.<\/p>\n\n\n\n
This makes an uncontrolled company-wide launch risky. High adoption may look positive until finance receives a bill that nobody can connect to a measurable business result.<\/p>\n\n\n\n
Before enabling Cowork, establish spending policies, user or group limits, budget alerts and a process for approving additional capacity. Microsoft provides cost-management reporting, but someone in your organisation still needs to review it and act on the findings.<\/p>\n\n\n\n
Measure value at the process level rather than counting prompts. Useful measures include:<\/p>\n\n\n\n
Consider a 200-person professional services company where ten project managers each spend three hours a week preparing status reports and client updates. That is 30 hours of management time every week.<\/p>\n\n\n\n
A controlled Cowork pilot could test whether the process can be reduced to one hour per manager, including review. If it works, the business saves 20 hours a week while maintaining human approval over every client communication.<\/p>\n\n\n\n
The pilot should then compare the value of those saved hours with Copilot licensing, Copilot Credit consumption, implementation effort and ongoing governance. That is a defensible business case. A claim that employees are \u201cusing AI more\u201d is not.<\/p>\n\n\n\n
Copilot Cowork’s move to general availability is important because it shifts Microsoft 365 AI from helping employees produce content to helping them complete work. For the right processes, that can improve productivity and reduce administrative effort considerably.<\/p>\n\n\n\n
But the safest approach is not to switch on every capability and wait to see what happens. It is to start with a valuable process, clean up access, define accountability and measure the result.<\/p>\n\n\n\n
